1. Agreement to Terms
By engaging our services, you (“Client”) agree to the following terms and conditions, which constitute a legally binding contract between the Client and Eventrohub (“Event Planning Agency,” “we,” “us,” or “our”). If you do not agree to these terms, please do not proceed with booking or utilizing our services.
2. Services Provided
Eventrohub provides event planning services, including but not limited to wedding planning, corporate events, parties, and other special occasions. We will work closely with the Client to plan and organize the event according to the agreed-upon specifications. Any additional services or requests not covered in the initial agreement may result in additional charges.
3. Event Details and Timeline
The Client agrees to provide complete and accurate information regarding event details, including the venue, guest count, timeline, budget, and specific requirements. Changes to these details may require additional planning time and could result in revised fees.
4. Payment Terms
A non-refundable deposit of 20% of the total event cost is required upon signing the contract to secure the date. The remaining balance is due 10 days before the event date. Payments can be made via check, credit card, or bank transfer. If the remaining balance is not paid by the due date, the Event Planning Agency reserves the right to cancel or postpone the event.
5. Cancellations and Refunds
If the Client cancels the event within 5 days of the event date, the deposit will not be refunded. Cancellations made before this period will be refunded at the discretion of the Event Planning Agency, minus any incurred costs. In case of an unavoidable event (such as force majeure), both parties will discuss rescheduling options or potential refunds on a case-by-case basis.
6. Client Responsibilities
The Client agrees to cooperate fully with Eventrohub, providing timely responses to emails, phone calls, and requests for information. The Client is responsible for providing timely payments and ensuring all event-related vendors are paid directly unless otherwise stated in the contract.
7. Vendor and Supplier Selection
Eventrohub may recommend trusted vendors and suppliers. The Client has the option to choose from these recommendations or select other vendors. The Event Planning Agency will coordinate with all vendors but is not responsible for the actions or performance of third-party suppliers.
8. Event Changes and Modifications
Any changes or additions to the original event plan must be communicated to Eventrohub no later than 5 days before the event. Changes requested after this time frame may result in additional charges or the inability to accommodate the requested changes.
9. Liability
Eventrohub will perform services with reasonable skill and care. However, the Event Planning Agency is not responsible for any injuries, damages, or losses that occur during the event, including those caused by guests, vendors, or external factors. The Client agrees to indemnify Eventrohub against any claims, lawsuits, or losses arising from the event.
10. Force Majeure
Neither party will be held liable for failure to perform their obligations under this contract due to circumstances beyond their reasonable control, including but not limited to natural disasters, pandemics, strikes, or government restrictions.
11. Confidentiality
Both parties agree to keep all event-related information, contracts, and discussions confidential unless otherwise agreed upon in writing.
12. Photography and Social Media
The Client grants Eventrohub the right to take photographs and videos of the event for promotional purposes. If the Client does not want photographs or videos taken, they must notify Eventrohub in writing prior to the event.
13. Dispute Resolution
In the event of any dispute arising out of or in connection with this agreement, both parties agree to attempt to resolve the issue amicably through mediation. If the dispute cannot be resolved through mediation, it will be subject to binding arbitration in accordance with the laws of New Jersey.
14. Governing Law
This agreement shall be governed by and construed in accordance with the laws of the state of New Jersey, without regard to its conflict of law principles.
15. Entire Agreement
This agreement constitutes the entire understanding between the Client and Eventrohub and supersedes all prior agreements or understandings, whether written or oral, regarding the subject matter of this contract.
